Using Trello, Google forms and Zapier to replicate an Applicant Tracking System

An Applicant Tracking System does a lot of things. However, the core functionality is the ability to accept applications, progress them via a pipeline, schedule interviews and collect feedback.

Create a Trello Card for each applicant.

There are multiple options when it comes to accepting applicant information and making a Trello card.

  1. The image shows how Google Forms (Free) can be configured to accept attachments. One can use a script or Zapier to save that data in a Trello card.
  2. NinjaForms has a extension for Trello which makes it easier to create cards.
  3. There are others like JotForm, Typeform that can be used for the same.

Configure Trello for ATS

Lists within Trello can act as steps in the pipeline. More details can be found here and here.

Workflow

As candidates move from one stage of the pipeline to another,

  1. Use Zapier to trigger emails, Slack messages, etc.
  2. Trello’s built-in automation tools
  3. Trello’s integration with Slack
  4. Calendly to help candidates schedule meetings & interviews

Other functionalities

  1. Send job posting to multiple job sites using BetterTeam
  2. If you only recruit for one job at a time, BreezyHR is a great free alternative to everything above.

  1. Exceptional idea! I've never thought of using Trello that way, thanks for sharing your idea. I guess, it's safe to say Trello is one of the most versatile tools out there. Not as might as an intranet solution of course, but at least it shows the same spirit of digital collaboration.
